Professional Thank You Notes - How to Write Them

If you are running a non-profit group or organization, being tactful is a must. Well written professional thank you notes should always include thanks to everyone who have helped you, or donated to your cause. Have thank you notes ready for any business, group or organization, and any individuals who have put their time and effort into your event.

When you are writing someone thank you notes, the most important factor is to never solicit anyone for another gift in your message. This comes off as needy and ruins the whole point of the thank you message. When you receive a gift and are telling someone thank you, then in the same sentence asking them for another gift - you are basically saying what they did give at first was not enough and that you are not really thankful for it at all. The main reason for mailing your professional note of thanks in the first place is to thank your donors for their support, generosity, and taking time out of their day to help you and your cause. If your notes are worded correctly, and contain enough sincerity within them it will increase your chances of receiving gifts again from the donors.

Even though professional thank you notes are important, they should still be kept brief and to the point. People of the world today are extremely busy and if you are not careful, your thank you message could end up in their pile of junk mail after a few sentences have been read.

Make sure every thank you card wording is professional, but yet still manage to keep it personal. You want to make sure your reader knows you put effort into their letter and that you really did appreciate their help with your fundraiser or event. In doing this your reader will feel a friendly connection with you.

Be sure you use the word "you" more than "I" or "we". That way your donor feels that you are focused on them and only worried about thanking them, then you are making yourself sound good. Show a direct example as to how the donor's donation has helped your fundraiser. For example, "We would like to thank you, -insert donors name-, for your wonderfully generous gift of $300.00, our organization was able to clothe and feed 45 women and children this week." This way the donor knows it isn't a computer that wrote his thank you letter because you directly addressed him and his donation.

In any case, if you have followed these guidelines with your professional thank you notes it is a very small chance your thank you message will be misunderstood by the reader. The main idea is just to always show your sincere gratitude towards the donor, because without them, your organization would not have its proper tools needed.
